Privacy Policy
MyMotherBox holds information about young children, so we treat privacy as part of child safety. This policy explains what we collect, why, who can see it and the choices centres and parents have.
Who this policy covers
This policy covers centre owners and staff who use MyMotherBox to run a preschool, daycare or creche, the parents and authorised adults who use the Parent App, and visitors to this website.
The centre that enrols a child decides what information is recorded about that child. We process that information on the centre's behalf and only to provide the service.
Information we collect
- Child details entered by the centre or parents: name, date of birth, room, photos, allergies, medical notes, meals, naps, nappy changes, milestones and attendance.
- Parent and authorised adult details: names, relationship to the child, phone numbers, email addresses and, if parents choose, a photo for pick-up checks.
- Staff details: name, role, room and login activity.
- Fee records: fee plans, amounts, receipts and payment status. Card and UPI details are handled by the payment gateway and are not stored by us.
- Website enquiries and sign-ups: the details you type into our forms.
- Technical data: device type, app version, IP address and error logs, used to keep the service working and secure.
How we use information
- To show each family their own child's day, photos, notes and summaries.
- To verify drop-off and pick-up against the authorised adults list.
- To record meals, naps and medicines given as instructed by parents.
- To manage admissions, fees, receipts and reminders for the centre.
- To draft end-of-day summaries from teachers' entries for a teacher to review and send.
- To provide support, fix problems and keep accounts secure.
Children's photos and details
Photos and notes about a child are visible only to that child's parents and to authorised staff at the child's centre. They are never shared publicly or with other parents.
When a group photo is posted, a family sees it only if their child is tagged. Centres can turn off photo downloads in the Parent App.
AI Parent Updates
AI is used only to draft text summaries from entries teachers have already made. It does not use cameras, video, audio or face recognition, and it does not make decisions about children.
Every draft is reviewed by a teacher before it is sent. Children's information is not used to train public AI models.
What we never do
- We never sell personal information.
- We never use children's or parents' information for advertising.
- We never use face recognition on children.
Sharing with service providers
We use a small number of trusted providers for hosting, email and SMS delivery, and payment processing. They receive only what they need to provide their service to us and are bound by confidentiality and data protection terms.
We may disclose information if required by law, and we will tell the centre concerned unless the law prevents it.
Security
Data is encrypted in transit and at rest. Staff access is limited by role and room, and sensitive actions such as changing pick-up lists or medicine instructions are logged.
Retention and deletion
Records are kept while the centre's account is active. When a child leaves, the centre can archive or delete their records. When a centre closes its account, it can export its data, after which the data is deleted from active systems within 90 days and from backups within a further 90 days.
Your choices
- Parents can ask their centre to view, correct or delete their child's information.
- Parents can choose whether a photo of authorised adults is used at pick-up.
- Parents can choose the language of their summaries and notifications.
- Anyone can ask us about the information we hold about them through our Contact Us page.
Changes to this policy
If we make material changes, we will tell centres in the app before the changes take effect.
